1. Who we are
CrickPay is an academy management platform operated by WCA Sports LLP ("CrickPay", "we", "us"), registered in Bengaluru, Karnataka, India. This policy explains what information we collect when an academy, its staff, players, and players' guardians use CrickPay's website and platform, and how we use, share, and protect it.
2. What information we collect
We collect information in three broad categories:
Account and academy information
- Academy name, address, sport, and contact details
- Admin, coach, and staff names, email addresses, and phone numbers
- Login credentials (passwords are stored encrypted, never in plain text)
Player and guardian information
- Player name, date of birth, batch/group assignment, and progress notes entered by coaches
- Guardian name, phone number, and email address, where the academy collects this
- Attendance records
Payment and usage information
- Subscription plan, billing history, and invoices
- Fee collection records processed on an academy's behalf
- Technical information such as IP address, browser type, and pages visited on our website
3. Information about players who are minors
Many players registered on CrickPay are children under 18. We treat this information with particular care:
- Player accounts and records are created and managed by the academy or a player's parent/guardian — CrickPay does not knowingly allow a child to create their own account or provide their own consent.
- Academies using CrickPay are responsible for obtaining appropriate parental or guardian consent before entering a minor's information into the platform, consistent with applicable law.
- We do not use children's information for advertising or marketing purposes, and we do not sell it to any third party.
- A parent or guardian may request access to, correction of, or deletion of their child's information by contacting the academy first, or CrickPay directly using the details in Section 13.
4. How we use your information
- To provide and operate the CrickPay platform — attendance, fee collection, scheduling, and reporting
- To process payments and maintain accurate billing records
- To send service communications (renewal reminders, fee due notices, attendance updates) by email, SMS, or WhatsApp
- To provide customer support and respond to enquiries
- To improve the platform and understand how it is used, in aggregate and de-identified form wherever possible
- To meet legal, tax, and regulatory obligations
5. Who we share information with
We do not sell personal information. We share information only with:
- Payment processors (such as Razorpay) to process subscription and fee payments securely
- Communication providers for sending SMS, email, and WhatsApp Business messages on an academy's behalf
- Cloud hosting providers who store CrickPay's data on our behalf, under contractual confidentiality obligations
- Law enforcement or regulators, only where required by law
6. Payment information
CrickPay does not store full card or bank account numbers on its own servers. Payments are processed by our payment partner (Razorpay), which is independently responsible for handling payment card data in line with applicable card industry security standards. CrickPay retains only transaction references, amounts, and status needed for billing and support.
7. Email, SMS and WhatsApp communication
Academies may use CrickPay to send attendance, fee, and schedule updates to guardians and players through email, SMS, or WhatsApp Business messaging. These messages are sent using the contact details the academy has on file, and are intended for service and operational purposes rather than marketing. Message and data charges from your network provider may apply.
8. How long we keep information
We keep account and player information for as long as an academy's subscription is active, and for a limited period afterward to allow reactivation, meet legal recordkeeping requirements, and resolve disputes. Exact retention periods will be set out at checkout and can be requested from us directly.
9. How we protect information
We use industry-standard measures including encrypted connections (HTTPS), encrypted password storage, and access controls limiting who at CrickPay can view academy data. No system is completely immune to risk, and we will notify affected academies without undue delay if we become aware of a breach affecting their data.
10. Your rights and choices
Depending on applicable law, you may have the right to access, correct, export, or request deletion of your personal information, and to withdraw consent for optional communications. Academy administrators can manage most player and guardian information directly within CrickPay; for anything else, contact us using the details below.
11. Cookies
Our website uses essential cookies needed for login sessions and security, and may use analytics cookies to understand site usage. You can control cookies through your browser settings.
12. Changes to this policy
We may update this policy as CrickPay's features change. We will update the "last updated" date above and, for material changes, notify academy administrators directly.
13. How to contact us
For any privacy question, or to exercise a data protection right described above, contact us at support@crickpay.net or write to WCA Sports LLP, Bengaluru, Karnataka, India.
